Applying for a Grant from the Shavlik Family Foundation

The Shavlik Family Foundation awards approximately 15 grants each year and considers technology requests from $1,000 to $30,000 to support innovative operations or program initiatives. 

Important Dates at a Glance

Grants Applications are considered once a year by the Foundation Board.  For 2020 Grants the Foundation is changing to an LOI process first.  Those who pass vetting  in that initial phase will be invited to give us a full grant proposal to be funded in April. 

  1. Online Grant System

    November 1st

    The Online Grant System opens on November 1st each year and closes on Dec. 1st for you to submit an LOI to be considered. Before January 15th you will be informed if your organization will be asked to submit a full proposal for consideration for a final grant decision. You will need to register with an email we can use for contacting your organization and a unique password. All grants must be submitted through our electronic system. No paper or emailed grants will be accepted.

  2. Grant Decisions Are Made

    March 31st

    The Board of the Shavlik Family Foundation will invite the top LOI submissions to give us a full proposal after January 15th. You will have until Feb. 15th to finalize your full proposal. We will make our final grant decisions from the group on March 31st. Your organization will receive an email at the one you provided in your application if you will be receiving a grant on or before this date.

  3. Grant Reports Due

    May 1st

    Proposals that are funded must submit a final report, including both narrative and financial information by May 1st of the following year of their grant award in order to be considered for future grants from the Foundation. The Foundation will contact the organization with a reminder to submit this form. 

Grant Timeline

The grant process is conducted over a 6 month period and only operates once a year. Organizations who want to apply need to prepare for this lengthy timeline. The time we spend is to accommodate the number of grants we receive and to give the Foundation time to read and analyze each submission with limited staff.

    Grant Online System Opens

    The system will ask you to set up a unique login to the grant application. Once you have established that you can begin to fill out the LOI application. You may save your work and continue to edit until you are ready to submit. Once you have submitted, however, you can no longer make any changes to the form. The application is also provided as a word document if you want to save a copy of your work. You can also use this tool to copy and paste into the on-line application. The email you enter is important as that is how we will contact the organization to let them know their status upon review of their grant. If you are an independent grant writer make sure you are using an email that the organization can be contacted at in the future.

    The Online Grant System Closes

    At 11:59 pm on December 1st the online grant system will close and you will no longer be able to submit your work, so make sure you have uploaded all the requested documents and have completely filled out your application before midnight. Please make sure we have a full mailing address in the form where asked. We often follow up with letters if emails are undeliverable when we communicate the results of our decisions.

    Grant Proposals Reviewed and Top Candidates Invited to Submit Full Proposal

    The Shavlik family and outside reviewers will finalize the decision process of finding the best proposals to ask to submit a full proposal with implementation plans for by January 15th. Due to the number of grants we receive, we will not communicate with grant applicants during the grant decision process. The application you have submitted is the only thing we consider in our decision. Thanks in advance for your understanding. Those who are invited to submit a full proposal to us will be able to log back into our on-line system to fill out the next form.

    Full Proposals Due

    If your organization has been invited to submit a full proposal to the Foundation you will once again have access to our online forms for that purpose.  Your full application will be due on this day and once again our reviewers will base the decision on the information you provide on the form.  There will be no other contact until a final funding decision is made.

    Final Decision

    The review of the full grant proposals will be completed and those with submissions in this part of the process will be informed of the Foundation's decision to either award or not award the grant proposal.

    Grants Distributed

    Checks are sent by certified mail along with a letter highlighting the Foundation’s terms and conditions. Cashing a check is the acceptance of those terms and conditions.

    Grant Reports Due

    On or before May 1st all of the previous year’s grant recipients must submit a final Grant Report that includes both narrative and financial data on the project funded. This is emailed to the Executive Director of the Shavlik Family Foundation at

    The report is necessary to be eligible in the future for another grant from the Foundation. All grant recipients are eligible after one year to apply again.
